Service Writer / Parts Advisor

Douglas Lake Equipment/Avenue Machinery Corp. (DLEAMC) in Grande Prairie is a distinguished dealership specializing in farm equipment, representing reputable brands such as New Holland Mac Don, Farm King, and Westward.  

Join our team as Service Writer / Parts Advisor at our Grande Prairie branch! We are seeking a detail-oriented and customer-focused individual to support both the Service and Parts departments. This role involves service work order management, warranty support, customer communication, inventory organization, and general administrative tasks. The ideal candidate thrives in a fast-paced environment, is highly organized, and values delivering excellent internal and external customer service.

Key Responsibilities:

Service Department Support

  • Process and invoice service work orders as approved by the Service Manager
  • Maintain accurate service records, files, and database entries for customers
  • Assist with customer follow-ups, customer calls and walk-in customer support
  • Contact customers regarding warranty appointment reminders, and service campaigns
  • Assist in warranty claim processing
  • Provide administrative support including document preparation and data verification
  • Collaborate with the Service Manager on customer concerns and departmental improvements
  • Coordinate internal monthly service work orders and support marketing efforts

Parts Department Support

  • Provide parts to service technicians and track shortages
  • Primarily responsible for internal parts needs.
  • Create parts estimates working with technicians
  • Operate forklift and assist with heavy lifting when needed
  • Uphold store procedures
  • Participate in merchandising, promotions, and general store maintenance
  • Maintain product knowledge and deliver high-quality customer service

  • Must be available for full-time work, including extended hours during peak seasons

  • Perform additional duties as required to support departmental operations

You are organized, proactive, and thrive in a support role that blends customer service and administration. Experience in a service or parts environment is an asset.

Requirements:

  • Post-Secondary Education or combination of related experience and skills
  • Basic computer skills a must.
  • Safety oriented
  • Strong knowledge of Service office procedures, shop processes, dispatching etc.
  • Strong mechanical aptitude and Industry knowledge is an asset.
  • Detail oriented. Attention to detail and follow-through on processes and policies.
  • Must be motivated self-starter with an aptitude for numbers and deadlines.
  • Ability to think creatively and work on multiple projects in various environments.
  • Working knowledge of computers, business systems as well as Microsoft Office suite of applications.
  • Strong Communications skills and teamwork on phone, in person and via email.
  • Strong written and verbal skills to communicate with all levels of the organization.
  • Ethics, Integrity, and self-discipline.
  • Valid Driver’s license.
